Rollcallz with Vonage Phone

This advisory is intended for Instructors whose centers are migrating to Vonage as part of the phone transition. The purpose of this document is to provide clear, directive guidance on how texting and calling should be structured to support smooth daily operations, staff accountability, and consistent parent communication.

The recommendation in this document is straightforward:

  • Use Vonage for all voice calling.

  • Use Rollcallz for all parent texting and operational messaging.

  • Rollcallz leverages programmable texting service similar to the Vonage API service for text messaging. Please ensure you subscribe to the Vonage Phone Service and not the Vonage Business Communication (VBC) service since it is limited to only provide simple texting feature.

This is not a choice between two overlapping tools. Each platform serves a distinct purpose, and using them together provides the most reliable and scalable setup for a modern center.

Vonage: Center Phone Service

Vonage is designed to support:

  • Inbound and outbound voice calls

  • Voicemail and voicemail-to-email

  • Calling from desk phones, mobile apps, and desktop apps

  • A single professional caller ID for the center

  • Basic person-to-person SMS texting

Vonage should be treated as the authoritative system for anything that resembles a traditional phone interaction. Parents calling the center, staff returning calls, and voicemail management all belong here.

Vonage is not designed to manage student-linked workflows, operational alerts, or staff delegation tied to center activities. That is not a limitation; it simply reflects its role as a business phone platform.

Rollcallz: Operational Messaging and Center Workflows

Rollcallz is not a phone system. It is an operations and messaging platform built specifically for after-school centers.

Rollcallz is responsible for:

  • All parent texting related to daily operations

  • Automated check-in and check-out notifications

  • Scheduled and recurring messages such as the library notifications

  • Group and broadcast messages based on student tag filters

  • Message templates for consistency

  • Document sharing with parents

  • Staff collaboration around messaging

Rollcallz includes

  • a desktop app linked to a barcode scanner to automatically text parents on student check-in/checkout,

  • a web portal with role based access to Instructors and all assistants at the center, and

  • a mobile app for Instructors and all employees.

Messaging is tied to parents, prospects, class schedules, and attendance, not to individual phones.

Why Rollcallz for Texting

The Vonage Business Communication (VBC) app provides basic SMS functionality. It is suitable for direct, manual conversations, similar to texting from a phone.

Operational texting requires a different foundation. Rollcallz uses a programmable SMS infrastructure because it enables capabilities that phone-based apps are not designed to provide.

This approach allows Rollcallz to:

  • Send automated messages triggered by center events

  • Schedule messages in advance

  • Apply role-based permissions to staff

  • Maintain consistent communication standards

  • Integrate texting directly into attendance and pickup workflows

Using Rollcallz texting does not remove or interfere with Vonage calling features. Voice services continue to function exactly as provided by Vonage.

Staff Delegation and Instructor Control

A critical operational requirement for most centers is delegation.

Rollcallz allows Instructors to assign texting responsibilities to Chief Assistants and other staff members without sharing phone logins or personal devices. Permissions are managed centrally, and communication remains professional and consistent.

This structure supports:

  • Clear accountability

  • Reduced instructor interruption

  • Consistent messaging tone

  • Operational continuity when staff changes

What Rollcallz Investment Delivers

Rollcallz messaging includes:

  • Automated operational alerts

  • Scheduled and templated messaging

  • Group broadcasts by student tag filters

  • Multi-caregiver coordination

  • SMS from the same Vonage number

  • Instructor-to-assistant delegation

  • Messaging linked to attendance and schedules

  • Centralized message history within the platform

This is not simple texting. It is operational infrastructure.

Recommendation

Centers should not attempt to use a single tool for both calling and operational texting.

The recommended configuration is:

Vonage Phone Service for all voice calls and voicemail (not the VBC service)

Rollcallz for all texting and operational communication

This setup aligns with the Vonage phone transition while ensuring that centers retain full control over daily operations.
